In short
Should you use Qualiform or HubSpot Forms to qualify website inquiries?
HubSpot Forms is the better fit when your contacts already live in HubSpot and a standard form is enough. Qualiform is the better fit when you want the AI to ask each visitor for what is missing, every inquiry scored out of 100 by your own rules, and good fits offered a time.

| What is compared | Qualiform | HubSpot Forms |
|---|---|---|
| How a visitor answers | They type a conversation with the AI, which asks for one thing at a time | Visitors fill in form fields, such as text, dropdowns, checkboxes, a date picker, and email |
| A vague or missing answer | The AI asks again, up to one, two, or three times, as you set. A refusal is saved and never asked again. | Email is required by default to create contacts. |
| Questions asked only after a certain answer | Use an answer's Add question to ask a question only of visitors who pick it. One level deep. | Conditional logic can show or hide fields and steps. Needs Marketing or Content Hub Professional or Enterprise. |
| Who scores an inquiry | Code, out of 100, from your own rules. The AI never scores. The same answers always get the same score. | Contacts are scored in a separate lead scoring tool, on Marketing Hub Professional or Enterprise |
| What happens next | One of five rules, chosen by the score. You decide what each rule offers. | A workflow can assign an owner to new contacts, on Professional and Enterprise plans |
| Booking a time | From your own hours or your scheduling link, after you save the Booking tab once | A form can redirect visitors to a meeting scheduling page. That needs Sales or Service Hub Enterprise. |
| Saved with your CRM contacts (no setup in HubSpot Forms) | Connect HubSpot, and each lead becomes a contact, or updates the one already there, with its score and every answer. | HubSpot says form submitters are added to its CRM automatically |
| Free plan | $0 for 25 conversations a month and one live form. The form stops at 25. | Free tools include forms, with HubSpot branding, for up to two users |
| Paid plans | From $20 a month for 100 conversations (Starter) to $100 for 600 (Scale), plus Custom | Marketing Hub Professional adds lead scoring: $800 a month on the annual plan, plus a $3,000 onboarding fee. |

HubSpot Forms suits a business whose contacts already live in HubSpot and that only needs a standard form. Qualiform suits a business that wants each visitor asked for what is missing, scored the same way every time, and sent to a next step. Qualiform makes this page, so read each HubSpot detail on HubSpot's own site before you decide.
How does a visitor fill in each one?
In Qualiform, a visitor types instead of filling in boxes. The AI answers anything they ask, in plain words. Then it asks for one thing that is still missing. It works answers out of what the visitor already said instead of asking again. It writes down what it learns, silently, after every message.
Each answer is saved with three things:
- Whether the visitor said it or the AI worked it out.
- How certain the AI is.
- The visitor's exact words.
The lead is saved after every message, not only at the end. So a visitor who gives a budget and then closes the tab still leaves a lead. After 30 minutes of quiet, the conversation counts as abandoned. If the visitor comes back and keeps typing, it picks back up.
HubSpot Forms: a visitor fills in form fields, such as single-line text, dropdowns, checkboxes, a date picker, and email.
How does each handle a vague or missing answer?
In Qualiform, each question has a setting for when to ask it: Always ask, Ask if you can, or Infer only. An Infer only question is never asked. The AI fills it in from clues. You also choose how many times the AI may ask a question: one, two, or three. In How to ask, or when not to (Optional), you can tell the AI what a good answer looks like, for example "a rough range is fine, we start at $2,500."
A few more rules apply:
- A refusal is saved as a refusal. "I would rather not say" is never asked again.
- Nothing is made up. An answer the AI could not get is left empty.
- Some questions can be gentle. Sensitive makes the AI ask gently. It keeps the question off the "Your answers" list, where visitors can fix mistakes.
- Some questions follow one answer. On a Pick one question, use an answer's Add question to ask a question only of visitors who pick it.
HubSpot Forms: email is required by default to create contacts. In HubSpot's newer form editor, conditional logic can show or hide fields and steps based on a visitor's answers. It needs a Marketing Hub or Content Hub Professional or Enterprise subscription. For other required fields and validation, check HubSpot's own help pages.
How is each inquiry scored?
In Qualiform, the AI only holds the conversation. It never scores anyone. Code scores the answers out of 100, using your own rules. The same answers always get the same score.
You set How much it counts for each question: Critical, High, Medium, Low, Minimal, or No score. Skipping a question never lowers a score. An unanswered question is left out of the sum instead of counted as zero. The Answered percent beside each score shows how much of your scoring that score rests on.
Each lead gets a priority: Hot, Warm, Cool, Cold, or Not a fit. Leads that cannot be scored are marked Not scored. A lead can be turned away in three ways: the AI closes a conversation as out of scope, the visitor picks an answer you marked as a dealbreaker, or they state a budget far under your floor. An unanswered question never turns anyone away.
HubSpot Forms: contacts are scored in HubSpot's separate lead scoring tool, which can create engagement scores, fit scores, or both. Contact scoring is on Marketing Hub Professional and Enterprise. An engagement score can add points for each form a contact sends. Predictive scoring needs Marketing Hub Enterprise or Sales Hub Enterprise. For how its scoring treats an empty field, and whether it shows why a contact got its score, check HubSpot's own help pages.
What happens after an inquiry arrives?
In Qualiform, every conversation ends on one of five rules, and the lead score picks the rule. The AI phrases the closing sentence. It never picks the rule, and it is told what to offer, never why.
- Nothing is offered until you choose. No times are offered until you save the Booking tab with your hours or a scheduling link.
- Times come from you. A form books from your own hours or from a scheduling link you already use. With your own hours, the visitor picks a time without leaving the conversation. They get a confirmation and a calendar invite by email.
- Busy times are skipped. Connect a Google Calendar, and its busy times are not offered. Only start and end times are read. If the calendar cannot be read, no times are offered.
- Nobody falls through. The fourth rule ("Say you'll be in touch" by default) is always on. A lead that answered too little lands there instead of getting the offer its score would earn.
- You can see why. Each lead records its rule and a line naming the numbers that decided it.
When a conversation completes, one email goes out with the answers, the conversation, and a link to the lead. Every conversation is recorded whether or not anyone is emailed.
HubSpot Forms: users can get form alerts by email, desktop, or the mobile app. On Professional and Enterprise plans, a workflow can assign an owner to contacts created from form submissions, for example by country. Rotating leads among sales users needs a Sales or Service Hub Professional or Enterprise subscription. A form can redirect a visitor to a meeting scheduling page based on their answers, which needs Sales or Service Hub Enterprise.
Where does HubSpot Forms win?
If your business already runs on HubSpot, HubSpot says its form submitters are added to its CRM automatically, so they sit with your other contacts. HubSpot can also collect submissions from forms not built in HubSpot, and custom forms can connect through its Forms API.
Qualiform has limits of its own:
- HubSpot is the one CRM it connects to directly. Any other CRM needs a webhook, through Zapier, Make, or your own server.
- The Free plan keeps one live form. A second live form needs a paid plan.
- A template only works on a new form. It cannot be applied to a form that is already set up.
- Visitors cannot reschedule. They can cancel a meeting, but they cannot pick a new time.
- The Free and Starter plans always show "Powered by Qualiform." Only Growth, Scale, and Custom can remove it.
Some visitors may also prefer to fill in boxes than to type a conversation with an AI. A plain form suits them.
Where does Qualiform win?
These come from Qualiform's own help pages. Check each one against HubSpot's own pages before you decide.
- A conversation instead of boxes. The AI asks one thing at a time and answers the visitor's questions.
- A lead even when someone stops partway. The lead is saved after every message.
- Scoring you can explain. Code scores every inquiry out of 100 from your own rules. Each lead records the numbers that decided its rule.
- A next step for every score. Once you save the Booking tab, a rule can offer a time from your own hours or your scheduling link. The rest get a reply you wrote.
- Ready-made starting points. Five templates write the questions, scoring, wording, and rules: Design or web studio, Home services and trades, B2B software, Event or wedding venue, and General inquiry.
- Two ways to place it. Two lines of code put it on a page. A direct link works anywhere, even behind a QR code.
- A free Preview. Preview runs your form with the AI answering for real. It is not counted, and it sends no lead email.
What does each cost?
Qualiform's prices come from its own pricing. HubSpot's prices are as of the date shown under the comparison table.
| Plan | Qualiform | HubSpot Forms |
|---|---|---|
| Free | $0, 25 conversations a month, one live form, no overage | Free tools include forms, with HubSpot branding, for up to two users |
| Starter | $20 a month, 100 conversations | Marketing Hub Starter removes HubSpot branding from forms. HubSpot's own pages give different prices, so check it there |
| Growth | $60 a month, 350 conversations | See HubSpot's pricing page |
| Scale | $100 a month, 600 conversations | See HubSpot's pricing page |
| Custom | Negotiated volume, with a spend ceiling in the contract | See HubSpot's pricing page |
| Lead scoring | Included on Free, which has every scoring and booking feature | Contact scoring starts on Marketing Hub Professional, $800 a month on the annual plan, plus a $3,000 onboarding fee |
On a paid Qualiform plan with a card on file, each conversation past the included number costs $0.30. That runs up to twice the included number, or a lower limit you set. Without a card, a paid plan stops at its included number. Every plan includes one person's calendar. Each extra person with a calendar costs $10 a month, on paid plans only.
For HubSpot's current prices, see HubSpot's pricing page.
Who should pick which?
- Your contacts already live in HubSpot, and a standard form is enough: HubSpot Forms.
- Every inquiry must arrive in HubSpot as a contact, with nothing to set up: HubSpot Forms. Qualiform does it once you connect HubSpot.
- You want each visitor asked for what is missing, and every inquiry scored the same way: Qualiform.
- You want good fits offered a time and the rest a reply you wrote, without reading each one first: Qualiform.
- Your visitors would rather fill in boxes: a plain form, such as HubSpot Forms.
- You get a few inquiries a month and reply to each one yourself: neither. A plain contact form may be all you need.
Before you pick, write down the three things an inquiry must tell you before you reply, such as a budget, a start date, and a place. Then send yourself a test inquiry in each tool. Check which one gave you all three without a second round of back and forth.
Common questions
Can I keep using HubSpot as my CRM if I use Qualiform?
Yes. Connect HubSpot on Qualiform's Integrations page, and each finished conversation creates the lead's contact, or updates the one already there, with their score, the outcome, and every answer.
Is lead scoring on Qualiform's Free plan?
Yes. The Free plan includes every scoring and booking feature. It allows one live form and 25 conversations a month, and the form stops taking conversations at 25.
Does the AI tell a visitor their score?
No. The AI never mentions a score, a priority, or a reason to a visitor, even when asked. The lead email sent to you does not include the score or priority either.
Will visitors know they are talking with an AI?
Qualiform's terms require the business running a form to tell visitors that it uses Qualiform and that the conversation is with AI. The visitor is also told they are chatting with an AI assistant.
What happens when a Qualiform form reaches its monthly limit?
A conversation already under way always finishes. New visitors see a plain line saying the form is not taking new conversations right now, and no lead is recorded. Admins get one email when usage passes 80 percent of a limit.
Can a visitor fix an answer the AI got wrong?
Yes. Visitors can open the "Your answers" list behind the icon at the bottom left of the box and fill in or fix an answer themselves. Questions marked Sensitive are kept off that list.
Can a visitor reschedule a meeting booked through Qualiform?
No. A visitor can cancel a meeting but cannot pick a new time. You can also cancel it from the lead's page with Cancel meeting.
How do I move an existing HubSpot form to Qualiform?
Make a new form and start from the closest template or from scratch. Add the questions you need, and if you started from scratch, choose how each rule ends on the Routing tab. Then paste the two lines of code where the old form was, or share the form's direct link.
