In short

Should you use Qualiform or Calendly to qualify leads before a call?

Calendly is the better fit when booking the meeting is the main job and your team already books its calls there. Qualiform is the better fit when an inquiry needs a conversation first. The AI asks for one missing answer at a time, Qualiform scores the answers with your own settings, and each inquiry goes to one of five next steps.

Choose Qualiform if

  • Inquiries arrive as written messages, and you want each one scored by your own rules.
  • You want a different reply for a strong lead, a maybe, and a poor fit.
  • You want the questions asked before anyone is offered a time.

Choose Calendly if

  • Your team books every call in Calendly, and a few fixed answers decide who gets one.
  • Booking the meeting is the main job, not sorting the inquiry.

Calendly is the better fit when the meeting is the main job and your team already books its calls there. Qualiform is the better fit when an inquiry needs questions asked, answered, and scored before anyone offers a time. Some businesses will want both. Qualiform asks and scores, and a Calendly page does the booking.

Qualiform makes this page, so keep that in mind as you read. Every statement about Calendly should come from Calendly's own site, on the date shown under the table.

How does Calendly qualify a lead before a call?

Calendly qualifies with routing forms, on its Teams plan and up. Its pricing page says they let you "create forms, screen invitees, and route leads based on responses." Routing follows radio button and dropdown answers. Screening routes filter out leads who do not qualify, a fallback route catches the rest, and a known lead can go straight to their HubSpot or Salesforce account owner's booking page.

If it works that way, the idea is simple. A visitor answers questions before they see a calendar. Their answers decide whether they are offered a time, and with whom. The questions come first, and the booking comes after. This suits a team whose deciding questions have short, fixed answers, such as company size or region. It also suits a team whose next step is always a meeting.

How does Qualiform qualify an inquiry before a call?

In Qualiform, a conversation ends in a decision. These four things happen after every message the visitor sends:

  1. The AI replies. It reads what the visitor wrote and answers anything they asked. Then it asks for one thing still missing.
  2. Your settings score it. Each question you score reads one answer, grades it, and counts for its share. The total is a score out of 100.
  3. Your rules route it. The score sends the inquiry to one of five rules. These run from "call right away" down to "politely turn away." The reason is saved on the lead.
  4. The AI closes. When the rule offers a time, it says your closing line exactly as you wrote it.

The AI only collects the answers. Fixed math decides the score, so the same answers always get the same result. Read more about lead scoring.

Where does Calendly win?

Calendly wins when scheduling is the hard part of your week, not sorting inquiries.

  • More scheduling tools. Calendly checks every calendar you connect for busy times, adds booked meetings to your calendar, and shares meetings across a team with round robin. Qualiform's own booking is a set of bookable hours for each form. By default that is Monday to Friday, 9 to 5. Each call is a 15-minute phone call, with a 15-minute gap after it.
  • One tool for teams already using it. If your team already books every call in Calendly, asking questions there too means one less tool to learn and pay for.
  • Questions with fixed answers. If two or three multiple-choice answers decide who gets a call, a short form before the calendar may be all you need. A conversation adds nothing when the answers are always the same few.
  • Every yes ends in a meeting. Say you want to talk to everyone who qualifies, and the rest simply see no times. Questions before a calendar fit that well.

Where does Qualiform win?

Qualiform fits better when visitors answer in their own words, and when a call is only one of several right replies.

  • Answers in everyday words. A visitor can type "sometime after the holidays" for when they want to start. The AI saves what it learned, and your settings grade that answer.
  • A reply for every inquiry. Five rules cover the range, from a call right away to a polite turn-away. If you switch on the lowest rule, someone who does not fit is told politely in the same conversation.
  • Unfinished answers kept. The lead is saved after every message. Someone who shares a budget and then closes the tab still leaves you something to read.
  • A reason on every lead. Each lead has a line saying how it got its score and where it was sent.
  • A start for your trade. Five templates write the questions and the scoring for you. They cover studios, trades, B2B software, venues, and general inquiries. The trades template sets its top rule at a score of 70 instead of 85.

Can you use Qualiform and Calendly together?

Possibly, and for some businesses that is the best answer. In Qualiform, Your scheduling link on the Booking tab lets you use your own scheduler instead of bookable hours. When a rule offers a time, the AI says your closing line and puts your scheduling link beside it. A Calendly page can be that link. Qualiform does not pass the visitor's answers or score to Calendly; they stay on the lead in Qualiform.

Used this way, Qualiform asks the questions and scores them. Only inquiries that land on a rule that offers a time see the link. Calendly then handles the booking as it does today. No time is offered to anyone until you save your Calendly link on the Booking tab. Until then, an inquiry on a rule that offers a time is told you'll be in touch.

Who should pick which?

Find the line that matches you:

  1. Your team books every call in Calendly, and a few fixed answers decide who gets one: Calendly.
  2. Inquiries arrive as written messages, and you want each one scored with your own settings: Qualiform.
  3. You want a different reply for a strong lead, a maybe, and a poor fit: Qualiform, with its five rules.
  4. You like Calendly for booking but want the questions asked first: both, once it is confirmed that a Calendly page works as Qualiform's scheduling link.
  5. You get a few inquiries a month and reply to all of them yourself: possibly neither. A plain contact form and a quick reply may be enough.
  6. You need a long survey or a quiz with no single deciding answer: neither is the obvious fit. A general form builder may suit you better, as the Typeform comparison explains.

Before you decide, write down the three answers that decide whether an inquiry gets a call. Then fill in the form yourself three times with different answers. Check that each one lands where you expected. In Qualiform, Preview lets you do this for free. The guide to qualifying leads from a contact form helps you choose those three answers.

Common questions

Does Qualiform use AI to decide a lead's score?

No. The AI has the conversation and saves the answers. Qualiform works out the score from your own settings with fixed math, so the same answers always get the same score.

What happens if a visitor stops partway through a Qualiform conversation?

Their answers are kept, because the lead is saved after every message. After thirty minutes of quiet, the conversation shows as abandoned. If the visitor comes back and keeps typing, it becomes an ordinary conversation again.

Can I try a Qualiform form before visitors see it?

Yes. Preview opens the form the way a visitor sees it, with the AI answering for real. It is free, it does not count toward your usage, and it sends no emails or messages. Each organization gets a set number of previews a day.

How long does a Qualiform conversation last?

Each form has a limit on how many rounds of back and forth it allows. By default it is set for you, with one round for each question the AI must ask, one for the goodbye, and one spare when some questions are asked only if there is a natural opening. When the limit is reached, the conversation is marked completed, so a visitor is never held for one more answer.

Will a Qualiform template turn away a visitor on a number I never set?

No. A template asks up to three things only you know, such as the smallest job worth your time. If you leave one empty, the form still works and turns nobody away on that missing number.

Does someone get told when a new inquiry arrives in Qualiform?

Yes. You choose who hears about new leads on the Routing tab, under Who hears about new leads. A form with nobody to tell still saves every lead. A conversation the AI closed early as off topic is the one case where nothing is emailed.

Can I use Qualiform without a website?

Yes. Every form has its own direct link, which opens the form full page. You can put it in an email signature, a social profile, or behind a QR code on a van or a business card.
