Lead leakage is a loss that happens when an inquiry reaches a business and never gets a reply. Nobody answered, so the work was lost before anyone decided whether it was a fit. For a small service business, each leaked inquiry is a job that may go to someone else.

How is lead leakage different from funnel loss?

Lead leakage is not the same as funnel loss. A funnel is the set of steps from the first reply to a paid job. Funnel loss is a lead who got a reply and then stopped at a later step, such as after a quote or a call. Leakage happens before the first step.

Lead leakage Funnel loss
When it happens Before any reply After the first reply
Did anyone reply? No Yes
Example A message sits unread in an inbox A quote is sent and never accepted
What it tells you How inquiries are handled How the offer, price, or timing landed
Where to fix it Who is told, and who replies The quote, the call, or the follow-up

Keep the two apart. A business that counts both as "lost leads" cannot tell whether it has a reply problem or a sales problem.

What does lead leakage look like in a service business?

Here is an example. A plumbing business gets an inquiry on a Friday evening. It goes to a shared inbox. Each of the two owners thinks the other one saw it. By Monday, the visitor has booked another plumber. Nobody turned the job down. Nobody answered it.

Where do inquiries usually leak?

  1. Nobody is told it arrived. The inquiry is saved, but no one gets an email or a message.
  2. Nobody owns the inbox. Everyone can see it, so no one is sure it is theirs.
  3. The visitor leaves partway through. A form that saves only when the visitor presses send keeps nothing. In Qualiform, the lead is saved as the conversation goes, so someone who gave a budget and then closed the tab still leaves you something to read. Only finished conversations are emailed to you, so check your leads for the rest.
  4. The reply waits behind everything else. Every inquiry looks the same, so a good one sits in the queue until it is too late. Lead scoring helps sort them.

How do you check for lead leakage?

Count last month's inquiries. Then count how many got a reply of any kind. The gap between the two numbers is your leakage. To close it, the guide to qualifying leads from your contact form shows how to give every inquiry a next step.

Common questions

Is a slow reply lead leakage?

Not by this definition. A slow reply is still a reply. It can cost you the job, but the inquiry was answered, so it is a loss later in the funnel.

Does an inquiry that is not a fit count as leakage?

Yes, if nobody answers it. A short, polite reply saying the work is not a fit closes the inquiry, so it is no longer leaked.

Do small businesses have lead leakage?

They can, because one or two people often handle every inquiry along with the work itself. When they are busy, nobody else is watching the inbox.
